This Payment and Cancellation Policy ("Policy") governs all lactation support and sleep coaching services ("Services") provided by Steamboat Lactation & Sleep LLC ("we," "us," or "our") to clients ("you" or "your") in the State of Colorado. By scheduling or attending a consultation, session, or program, you acknowledge that you have read, understood, and agree to be bound by this Policy.
1. Payment Terms
Payment Due. Payment for services is due as follows:
Single Sessions: Payment is due in full at the time of booking, prior to the scheduled session.
Packages and Programs: Payment is due in full at the time of booking.
Accepted Payment Methods. We accept credit cards (Visa, MasterCard, American Express, Discover), debit cards, electronic bank transfer/ACH, PayPal, Venmo, or other digital payment platforms, cash (in-person sessions only), and checks (made payable to Steamboat Lactation & Sleep LLC).
Pricing and Fees. Current pricing for services is available upon request and may be updated from time to time. Price changes will not affect services already booked or paid for. Additional fees may apply for travel to client location beyond 25 miles from 80487, extended session time beyond the scheduled duration, rush or same-day booking requests (subject to availability), overnight phone/text support (when applicable), and after-hours lactation or sleep troubleshooting.
Insurance Reimbursement and Superbills. We do not bill health insurance directly and are considered an out-of-network provider. Upon request, we are happy to provide a superbill for lactation services that may be submitted to your insurance company, Health Savings Account (HSA), or Flexible Spending Account (FSA) for possible reimbursement. A superbill is an itemized receipt containing the information commonly required by insurance companies, including services provided, dates of service, diagnosis codes (when applicable), procedure codes (when applicable), and provider information.
Please note that:
Payment for services is due in full at the time outlined in this Policy, regardless of insurance reimbursement.
Submission of a superbill does not guarantee reimbursement. Coverage and reimbursement amounts are determined solely by your insurance plan.
Clients are responsible for verifying their out-of-network benefits and submitting any required documentation to their insurance carrier.
Any reimbursement received from your insurance company will be paid directly to you unless otherwise required by your insurance plan.
Superbills are available upon request after payment has been received.
Sleep coaching services are generally not eligible for insurance reimbursement and are not typically considered HSA or FSA eligible expenses. If you wish to use HSA or FSA funds for sleep coaching services, you are responsible for confirming eligibility with your plan administrator before your appointment. We cannot guarantee reimbursement or HSA/FSA eligibility for sleep coaching services.
2. Package and Program Terms
Package Details. Package details, inclusions, and expiration dates will be specified in your service agreement.
Session Scheduling and Expiration. Sessions included in packages or programs must be scheduled and completed within 6 months from the date of purchase unless otherwise specified in writing. Unused sessions after the expiration date are forfeited and non-refundable. Sessions must be scheduled at least 24 hours in advance, subject to provider availability. We will make reasonable efforts to accommodate your preferred scheduling times but cannot guarantee specific dates or times.
3. Cancellation and Rescheduling Policy
Client-Initiated Cancellations and Rescheduling. To cancel or reschedule a session, you must provide at least 24 hours advance notice prior to the scheduled session start time. Contact us at 734-2703 or SteamboatLactationSleep@gmail.com. Cancellations or rescheduling requests made with less than 24 hours notice will result in forfeiture of the session. First-time clients may receive one courtesy waiver of the late cancellation fee at our discretion.
No-Show Policy. If you fail to appear for a scheduled session without prior notice ("no-show"), the full session fee will be charged and the session will be forfeited. For package clients, one session will be deducted from your package balance. No refund or credit will be issued for no-show appointments.
Late Arrival Policy. If you arrive more than 15 minutes late to a scheduled session, we reserve the right to shorten the session to the remaining time without extending the end time or providing a refund for the missed portion. Please contact us immediately if you anticipate being late so we can assess availability to accommodate you.
Provider-Initiated Cancellations. In the event that we must cancel or reschedule a session due to illness, emergency, or other unforeseen circumstances, we will provide as much advance notice as possible. You will be offered the opportunity to reschedule at no additional charge. If rescheduling is not possible or acceptable, a full refund will be provided for that session.
4. Refund Policy
General Refund Terms.
Single Sessions: Single session fees are non-refundable once booked.
Packages and Programs: Package fees are non-refundable after 3 days from purchase or after the first session is completed, whichever occurs first.
Refund Processing. Approved refunds will be processed within 14 business days and issued via the original payment method. Please allow 14 business days for the refund to appear in your account.
Dissatisfaction with Services. If you are dissatisfied with the services provided, please contact us at 734-2703 or SteamboatLactationSleep@gmail.com within 7 days of the session in question. We are committed to client satisfaction and will work with you to address concerns. Refunds for dissatisfaction are provided at our sole discretion and are not guaranteed.
5. Medical and Health Disclaimer
Not Medical Advice. The lactation support and sleep coaching services provided by Steamboat Lactation & Sleep LLC are educational and supportive in nature. We are not medical doctors, and our services do not constitute medical advice, diagnosis, or treatment. Lactation support services provide evidence-based information and practical assistance with breastfeeding and lactation but do not replace the care of a physician or pediatrician. Sleep coaching services provide guidance on infant and child sleep patterns and routines but do not diagnose or treat medical sleep disorders or other health conditions.
Client Responsibility. You are responsible for consulting with your child's pediatrician or healthcare provider before implementing any feeding or sleep strategies, particularly if your child has medical conditions, special needs, or feeding difficulties; seeking immediate medical attention if your child shows signs of illness, dehydration, failure to thrive, breathing difficulties, or other medical concerns; and following the medical advice of your healthcare providers, which takes precedence over any information or guidance provided through our services.
No Guarantees. While we strive to provide high-quality, evidence-based support, we cannot guarantee specific outcomes or results. Every child and family is unique, and success depends on many factors beyond our control.
6. Emergency and Medical Referral
When to Seek Immediate Medical Care. Seek immediate medical attention or call 911 if your child experiences difficulty breathing or choking, severe dehydration (no wet diapers for 8-12 hours, dry mouth, sunken fontanel, lethargy), unresponsiveness or extreme lethargy, high fever (100.4°F [38.0°C] or above in infants under 3 months; 104°F [40.0°C] or above in older infants and children), signs of infection or illness, failure to gain weight or sudden weight loss, blood in stool or vomit, or any other medical emergency.
Referral to Healthcare Providers. We may refer you to qualified healthcare providers, including pediatricians, International Board Certified Lactation Consultants (IBCLCs), pediatric sleep specialists, occupational therapists or feeding therapists, and mental health professionals. These referrals are recommendations only. You are responsible for selecting and engaging healthcare providers and for any fees associated with their services.
7. Privacy and Payment Processing
Privacy. We are committed to protecting your privacy. Personal information collected during the provision of services, including health information related to lactation and sleep, is maintained confidentially in accordance with applicable Colorado and federal privacy laws. Payment Processing. Payment information (credit card numbers, bank account details) is processed securely through Stripe and Squarespace Payments. We do not store complete payment card information on our systems. By providing payment information, you consent to our use of third-party payment processors and agree to their terms of service and privacy policies.
8. Client Acknowledgment and Signature
By signing below, I acknowledge that I have read, understood, and agree to the terms of this Payment and Cancellation Policy. I understand that payment is required in accordance with the terms outlined above; cancellations and rescheduling are subject to the notice requirements and fees specified; the services provided are educational and do not constitute medical advice; I am responsible for consulting with my child's healthcare providers regarding medical concerns; and my personal and payment information will be handled in accordance with applicable privacy and security standards.
